First: Administrative and Organizational Tasks

Organizing the Dean’s work and scheduling the daily appointments for meetings and official interviews.

Managing the flow of official correspondence (incoming and outgoing), registering, classifying, and distributing it to relevant parties.

Preparing drafts of official letters for the Dean and proofreading them linguistically and administratively before signing.

Organizing and documenting the minutes of meetings held or attended by the Dean, and filing them according to official procedures.

Following up on the implementation of the Dean’s decisions and directives with departments, units, and divisions, and ensuring adherence to deadlines.

Organizing an archive for the Dean’s office containing confidential, administrative, academic, and financial files according to an approved archiving system.

Second: Communication and Coordination Tasks

Coordinating between the Dean’s office and all college departments to ensure the smooth flow of administrative and academic work.

Maintaining continuous communication with the University Presidency regarding official letters, meetings, and periodic reports.

Receiving official delegations and organizing the procedures for meetings held in the Dean’s office.

Answering student and visitor inquiries within the scope of regulations and the office’s authority. Third: Follow-up and Supervision Duties

Monitoring the implementation of the college’s annual plan and submitting periodic reports to the Dean on progress.

Following up on appointments, promotions, and leaves of absence in coordination with the Administrative Affairs and Human Resources departments.

Monitoring legal files and ensuring compliance with ministerial instructions and standards of integrity and transparency.

Coordinating with college units (Quality, Continuing Education, E-Learning, Graduate Studies, Finance, Legal, and Registration) to submit observations and reports to the Dean.

Fourth: Technical and Administrative Support Duties

Preparing monthly, quarterly, and annual reports on the Deanship’s activities and organizing their data.

Managing the Deanship’s official email, organizing messages, and distributing them according to their respective areas of responsibility.

Providing logistical support for meetings and seminars sponsored or attended by the Dean.

Ensuring the confidentiality of information and protecting official documents.

Fifth: Customer Service Duties
Organizing the reception of visitors to the office and prioritizing them according to the Dean’s instructions.

Following up on student and staff complaints and submitting them to the Dean with an executive summary and preliminary recommendations.
